Headliner makes it easy to add and edit full-length captions on your videos. This feature helps ensure your videos are accessible, accurate, and ready to shine on any platform.
Here’s a step-by-step guide to captioning and editing your full-length video in Headliner.

Step 1: Log into Headliner
Start by logging into your account at make.headliner.app.
Step 2: Create a New Video Project
Click the orange “Clip, Caption, and Style Video” button on the dashboard. Next, choose the first option:
“Get a Single Video with Captions.”
Step 3: Select Your Aspect Ratio
Pick the aspect ratio that fits your platform:
- 16:9 (Landscape) – Best for YouTube
- 1:1 (Square) – Ideal for Facebook, LinkedIn
- 9:16 (Vertical) – Great for Instagram Reels, TikTok
Click Next.
Step 4: Upload Your Video
Upload your video in one of the following ways:
- Paste a YouTube link (YouTube Ingestion)-Just copy and paste a YouTube URL into Headliner. We’ll automatically import the video and transcribe it.
- Upload your video file - Use any MP4 or MOV file from your computer. Drag and drop, or click to browse.
- Connect to Google Drive - Try our handy Google Drive integration! Easily import your video recording from your Google Drive to your Headliner account. Perfect for teams!
- Import your Zoom recordings - Record using Zoom? Connect your Zoom account to Headliner and we can pull any recording stored in your account to be captioned, clipped, or styled.
Select your file and allow Headliner to process the video (stay on the screen while it uploads).
Note: Be sure to update the transcription language in the drop down menu if you did not record in English! Headliner supports over 100+ languages.
Step 5: Caption the Full Video
Once Headliner has imported your video, you'll need to determine the caption length. To caption a full-episode video, click 'Use Full Episode' near the top of your navigation pane.
Click, 'Continue with Full Episode.'
Next, to enable captions, click the 'Captions' button in the Quick Editor. Toggle “Captions.”
Headliner will automatically begin transcribing your video. You can leave the editor open while it processes (it usually only takes a few moments).
Step 7: Review & Edit Your Captions
Once the transcript is ready, you'll be able to click 'Edit Caption Text.' This will open a simple transcript based editor. Here, you will be able to edit your video much like a word doc! To edit grammatical disfluencies or spellings, simply click on the word you'r like to correct and type your desired caption in the pop-up window.
Pro Tip: Our transcripts are about 95% accurate. However, we accuracy improves over time with edits. To make bulk changes, like miss spellings of proper nouns, check “Update All Instances” to apply bulk edits to repeated words (e.g., change “podcast” to “Podcast” everywhere).
If you’ve used Headliner’s AI transcript-based editor Eddy before, this flow will feel familiar.
Step 8: Customize Your Caption Style
Headliner's default caption style will appear on your video. You may however adjust caption styling to match your unique style and flare! Click 'Edit Caption Style' to:
- Add branded fonts and colors
- Adjust placement on screen
- Add animation styles (available on videos 10 min or less!)
- And more!
Step 9: Save and Export
When you’re happy with how your captions look, click 'Create Project.'
Headliner will process your video with your new captions. Once the video is ready, you’ll receive an email or dashboard notification letting you know it’s ready to download and share.
Free & Basic Users
If you're on a Free or Basic plan, remember that you have a limited number of unwatermarked exports and transcription minutes each month. Make them count by polishing up those captions before you export!
